Multiple letterheads

It is straightforward to set up multiple letterheads, please follow the steps below:

Note: You must have access to Database Maintenance, Workflow Maintenance and System Matrix.

Create the database entry

  1. Open Database maintenance

  2. Select the relevant case type IE personal injury

  3. Create a new field using the plus icon

  4. Select Option as the field type

  5. Add in a new column/header for Code & another for description.

  6. Save the field using the save icon

Adding in the options to the database entry

  1. Open Option maintenance

  2. Select the relevant case type on the drop down menu

  3. Locate the database field you created

  4. Create some entries using the New button for the letterhead choices you want EG Lethead 1, 2 etc.

  5. In the code column populate with 1, 2 etc. Description is just a descriptor so populate with any name etc.

  6. Save the option list

Add the field to a screen

  1. Open Screen designer

  2. Select the relevant case type

  3. Open any screen you wish to select the option from

  4. Update the screen

  5. Add the field in using the field selector

  6. Save the screen

  7. Commit the screen

Create the system matrix entry

  1. Open System matrix

  2. Select the relevant case type

  3. Create a new entry using the new button

  4. For the description enter Multiple Forms

  5. Press the tab key on your keyboard

  6. Select the option field from the field selector

  7. Save the entry

  8. Exit System matrix

Add the multiple letterhead to a letter.

  1. Open Workflow maintenance

  2. Select the relevant case type

  3. Locate the letter you wish to apply this change to

  4. Click update

  5. At the right hand side of the FORMS: Letter option boxes there is a small icon with several squares and a plus symbol to assign multiple letterheads

  6. Locate the Multiple letterhead entry within the pop out menu

  7. On here, you can assign letterheads against code entries

  8. For code 1 select the relevant letterhead at the right hand side, repeat for any other codes IE 1, 2, 3.

  9. Click save.

Test the letter against the options

  1. Open Proclaim desktop

  2. Navigate to a test case

  3. Select one of your letterhead options from the screen created earlier

  4. Produce the letter

  5. Click Edit

  6. View the document to see if it has appropriately selected the letterhead
