How to Manage User Sessions and Resolve Stale or Stuck Sessions in Access Legal Proclaim

Managing user sessions effectively is crucial to ensure smooth operation in Access Legal Proclaim. This article explains why the "user profiles in use" message appears and provides a step-by-step guide to resolving stale or stuck sessions using Proshut.

Why Does the "User Profiles in Use" Message Appear?

The "user profiles in use" message can appear for two main reasons:

  1. Active User Profiles: The message is displayed when a user is actively using their profile, which is by design.

  2. Stale Sessions: If a prior session wasn’t closed properly, such as after a crash, the message may persist. In such cases, clearing stale sessions using Proshut can resolve the issue.

Step-by-Step Guide to Clearing Stale Sessions Using Proshut

Follow these steps to disconnect a stuck session and force a logout:

  1. Access the Proclaim Database Server: - Use standard server access or remote desktop to log in.

  2. Launch Proenv as an Administrator: - Search Windows for "Proenv," right-click, and select "Run as administrator." - Alternatively, navigate to the Eclipse Admin folder on the desktop and run Proenv as administrator. - Another option is to right-click the Proclaim shortcut, choose "Open file location," go up one folder, open the Eclipse Admin subfolder, and run Proenv as administrator.

  3. Run Commands in Proenv: - Confirm you can enter commands by typing prompt. - Use net share to list drives and locate the folder containing the database (commonly named Prodisk). - Navigate to the database path using cd commands (e.g., cd drive:\Prodisk\Proclaim\v3db\proclaimdb). - Run the command: proshut proclaim.

  4. Disconnect the Stuck Session: - Press Enter until a menu with four options appears. - Select Option 1 (Disconnect a user). Avoid selecting other options. - Enter the Active ID of the user to disconnect and press Enter. - Continue pressing Enter to return to the menu, then type X to exit and close Proenv.

Notes:

  • If no Active ID is shown, look for sessions with no ID number but ignore task servers and Proclaim DB server entries (these naturally have no ID).

  • To identify logged-in users, use the Licence Status or User History program on the Proclaim toolbar. User History also shows "Reset Session left Logged in" events. If users aren’t logging out, check Quick Case Record Browse for cases left locked open.

Additional Best Practices

  • Regularly monitor user sessions to identify and address issues proactively.

  • Educate users on proper logout procedures to minimize stale sessions.

  • Avoid making changes to the database without proper authorization or guidance.

By following these steps and best practices, you can effectively manage user sessions and resolve issues related to stale or stuck sessions in Access Legal Proclaim.
