How to password protect cases

It's possible to enter a password before a case can be opened. This feature can be set up on a per case type basis. You can do this in three easy stages:

Create the Database Maintenance password field

  1. From the Proclaim toolbar, click Database Maintenance.

  2. From the drop-down menu, select the correct case type.

  3. Click New then select Alphanumeric.

  4. Enter the Name and Screen Label​​​​​​.

  5. Click Save then click Exit.

Add the field within Screen Designer

  1. From the Proclaim toolbar, click Screen Designer.

  2. From the drop-down menu, select the correct case type.

  3. Click New then enter the screen title, tab colour, and authorisation level.

    Note: To prevent users from being able to see the screens and the password, the authorisation level should be set to a higher authorisation level than the general user base, but to permit the system administrator access to it.

  4. To add the password to the new screen, click Add Data Field.

  5. Click Save then click Commit​​​​​​.

Add an entry to the System Matrix table

  1. Select the System Matrix program from the Proclaim toolbar

  2. Select the correct case type from the drop down menu

  3. Click on the New button

  4. Enter a description which must be Password and press the ‘Tab’ key to enter the Field Selection window where the newly created ‘password’ field should be selected

  5. Click on the Save button and exit

Once these three tasks have been completed then, if the password field contains data on any individual case, users will not be able to open the case until they enter whatever
characters the password field contains. Because the password screen has been set to a high
authorisation level only an administrator will be able to access the password screen within a case to set, change or remove a password.

Please note that if a user has the Suppress Password Requests option ticked in the CASE GENERAL section of User Profiles, then the case password feature to be disabled.
