How do I create a mailshot?

It's possible to send a mailshot to clients using the Auto Routine program within Proclaim. This feature is set up on a per case basis. There are three stages to setting this up:

Create the Search

  1. Select the SQL Maintenance program from the Proclaim Toolbar.

  2. Ensure the correct Case Type is selected from the dropdown list.

  3. Click NEW.

  4. Enter a Code and a Description of the new search.

  5. Set the SQL Type as Auto Routine.

  6. Select the Criteria tab and add the selection criteria require to find the relevant files to be affected by the auto routine.

  7. Select the Columns tab and test the SQL using the Test button.

Create the Linked Action

  1. Select the Workflow Maintenance program from the Proclaim Toolbar.

  2. Ensure the correct Case Type is selected from the dropdown list.

  3. Click the tab for Linked Actions.

  4. Click NEW to create a linked action, in this case, a letter or email with an attachment.

Create and Run the Auto Routine

  1. Select the Auto Routines program from the Proclaim Toolbar.

  2. Ensure the correct Case Type is selected from the dropdown list.

  3. Click NEW.

  4. Enter a Code and a Description for the auto routine.

  5. Select the correct SQL search and correct Linked Action from the dropdown lists.

  6. Click SAVE.

  7. To run, make sure the correct auto routine is highlighted on the list and click the RUN button.
