Sending emails with RMail within Proclaim

Once the RMail Integration has been set up emails can be sent using the codes assigned to the template or by adding the codes manually.

Sending emails with RMail command code assigned to the template

Sending a letter template using Send Email that has the RMail command code assigned via Workflow Maintenance will automatically be directed to RMail, if the code exists in the System Parameter list.

The RMail processing code is added to the beginning of the email subject line, based on the entry in Workflow Maintenance and the .rpost.biz extension is added to the email as it is sent.

When the Send Email action window is open, an RMail command can be added to the beginning of a Subject line.

If the added command, or at least the first one if there are multiple, exists in the System Parameters list, the email is sent to RMail for processing.

When RMail command codes are used, there should be no space between codes.

RMail can't process emails that are 'Sent on Behalf of.'

Sending emails using maths syntax

Emails can have RMail commands associated to them through the Proclaim maths syntax, the RMail commands must be placed at the beginning of an email subject line.

The destination email address requires .rpost.biz adding, to allow it to reach the RMail system for processing. This can be done by using a variable, although, if the RMail command added to the Subject line is recognised, .rpost.biz is added to the address if it’s not already there.

  • RMail-Address = {Client (global).E-Mail Main} + ".rpost.biz"

The required RMail process to carry out on the email is stored at the beginning of the subject line of the email, the code is removed from the email before it reaches the intended recipient.

  • RMail-Command = “(C)” RMail-Subject = TEXT(RMail-Command) + “Subject line text for recipient to see”

The two new variables are used to replace existing text in the Send Email, AT and SUBJECT syntax

If the letter template used in maths syntax already has an RMail command code associated to it in Workflow Maintenance, this is added to the subject line, along with the codes used in the maths syntax.

Multiple RMail commands

RMail will accept multiple commands, but they must be presented at the beginning of the subject line, and without any spaces between the commands, e.g. (C)(Rref123ABC)(2PDF)

If the (Rreference) command is used with other commands, it must be the second command.

Maths syntax example:

  • RMail-Command = "(C)(Rref123ABC)(R+)"

  • RMail-Email = {Client (global).E-Mail Main} + ".rpost.biz" RMail-Subject = TEXT( RMail-Command) + " Letter Attached Do Not Ignore"

  • SEND E-MAIL (CL101) AT (RMail-Email) SUBJECT (RMail-Subject) TO (CLIENT (GLOBAL)) COST UNITS (3.00) COST CATEGORY (Pre Action Costs) CASE ( CURRENTCASE )

Send history items via email

Letters, that are in the case history, that have a RMail code assigned in Workflow Maintenance won't be sent via RMail as default if the Send to Email option is used from the right-hand mouse click menu.

Emails in the case history that were originally sent to RMail, and don’t have the RMail address extension showing, won't automatically go via RMail when using the right hand mouse click menu, Send to Email or Resend options.

The following RMail commands can be used with Proclaim:

  • (C) Unmarked, no RMail banner within the email.

  • (2PDF) Convert the attached document to PDF.

  • (R+) Register the receivers reply through RMail.

  • (RPMD) Remove metadata from attachments Details property tab.

  • (Rreference) Adds a reference to the RMail receipt RPSX. Note that RMail command (Rreference) cannot be used on its own, it must be proceeded by another command e.g. (C)(Rrefrence).

  • (password) Password protects the email .

The following is a non-standard code, which doesn't require an entry in the System Parameters, and should be used on its own, without other RMail codes.

  • (RREG) A Proclaim pseudo code to replace a blank entry on the subject line.

If no code is used, but the email is still routed to RMail, or the (RREG) code is used, it registers through the RMail process.

Some RMail commands require additional setup to be carried out by Frama Support (RMail) before they're used, for example RPSX()
