How do Global Fields affect correspondent records, and how can I manage this behavior?

When Global Fields are enabled in Access Legal Proclaim, they allow data, such as address or correspondent information, to be synchronized across linked cases. While this feature can be useful for maintaining consistency, it may also result in the creation of new correspondent records each time a client address is modified. This behavior can be managed by adjusting the Global Fields settings.

Overview of Global Fields and Their Impact

Global Fields are designed to facilitate data sharing across linked cases. However, when enabled, any changes to client address details can trigger the system to create new correspondent entries. This is because the system attempts to synchronize the updated information across all linked cases, treating the modification as a new entry.

Steps to Disable Global Fields

To prevent the creation of new correspondent records when modifying client addresses, you can disable the Global Fields setting for the relevant case type. Follow these steps:

  1. Open the Toolbar in Access Legal Proclaim.

  2. Navigate to Case Type Maintenance.

  3. Select the relevant case type (e.g., Clients).

  4. Locate the setting labeled Include Global Fields.

  5. Set this option to No.

Once Global Fields are disabled, changes to client addresses will no longer result in the creation of new correspondent records.

Locating and Adjusting Correspondent Settings

In addition to disabling Global Fields, you may need to review other settings related to correspondents. These settings can be found in the Database Maintenance section:

  1. Open Database Maintenance.

  2. Navigate to the relevant case type and correspondent.

  3. Review settings such as Master address alterations permitted and Include Global Fields.

  4. Adjust these settings as needed to control how correspondents are altered or created across linked cases.

Troubleshooting Common Issues

If you continue to experience issues with correspondent records being created or altered unexpectedly, consider the following troubleshooting steps:

  • Double-check that the Include Global Fields setting is disabled for all relevant case types.

  • Verify that other correspondent-related settings, such as Master address alterations permitted, are configured correctly.

  • Consult your system administrator or Access Legal Proclaim support for further assistance.

By understanding and managing the Global Fields settings, you can ensure that your system behaves as expected, minimizing unnecessary record creation and maintaining data integrity.
