This can be achieve via Option List Tuning, to set this up you will first need to create a field to tune the option list to:

  1. Open Database Maintenance to create a new field to use for this.

  2. Ideally select the Global Case Type if available to prevent you needing to duplicate this section for each individual case type. If Global does not exist then select the relevant case type.

  3. Click on New and set the type to Alphanumeric.

  4. Give the field a name (e.g. FeeEarnerTuning).

  5. Set the Initial Value to Yes.

  6. Press Save then Exit.

Next you will set up the Option List Tuning feature:

  1. Open Screen Designer.

  2. Select the relevant case type and then the screen where the Fee Earner field is on.

  3. Press Check Out then Update to open the screen for editing.

  4. Locate the Fee Earner option field then right-click it, in the pop out menu select Option List Tuning.

  5. There are two settings you need to fill out:

    1. The first needs to be pointed at the column on the Fee Earner field that states if that person is in use or not (typically called In Use)

    2. The second needs to be pointed at the new field you created above

  6. Press the tick to save the new settings.

  7. Save and Exit the screen, then use Check In to commit the changes.

  8. Repeat steps 1-7 on any further screens the Fee Earner option field is on.

All users will need to log out of Proclaim and back in again to pick up the changes but once done the drop down list will only show Fee Earners that have the In Use column set to Yes (this can be checked in Handler Maintenance).

If there are any issues with this, or you don't have access to the programs mentioned above then please raise a new case online and reference the title of this article.
