Setting up an SMS template

To be able to create of amend a SMS template, you will need to have access to workflow maintenance and have attended the relevant training. Follow the steps below to create or amend an SMS phrase:

  1. Enter the Workflow Maintenance Program.

  2. Select the Case Type and select the Text Message tab.

  3. If an existing phrase is to be updated then find this in the list of available phrases prior to clicking Update. If a new phrase is required then click New. The SMS Details section of the screen will then open up.

  4. Add or amend the details as required. Some of the key areas to complete are listed below:

    • Code (required) - the unique code which will be used to identify the phrase in Proclaim. Once the phrase has been saved for the first time, the code cannot be changed

    • Description - used to identify the purpose of the phrase and also serves to complete the actual text message when run. It can be tailored using the Field Selector icon to the side of the description box

    • Correspondent - select the correspondent that will be the recipient of the message

    • The Cost Details section allows for the time recording associated with this action to be pre-set to default units, cost descriptions and (if appropriate) cost category

    • Diary Details allows for an automatic diary to be added to the back of the phrase when run

  5. Once the phrase has been set up, click Save to commit this to Workflow Maintenance and Exit the program.
