Why understanding current workflow processes within Proclaim is important

It is important to constantly assess current workflow processes and identify areas for improvement. Start by understanding the existing processes and defining their objectives. Establish relevant KPIs and create process maps to visualise the workflow. Analyse data, engage stakeholders for feedback, and benchmark against best practices. Identify bottlenecks and pain points, then prioritise improvement opportunities based on impact and feasibility. Develop a detailed improvement plan with clear objectives, action steps, and timelines. Implement changes and monitor their impact while fostering a culture of continuous improvement. Periodically reassess and adjust the processes to adapt to changing business needs.

What you can do to review and amend existing Workflow processes in Proclaim

Using the tools available in Proclaim, you can create new database fields, screens, documentation and process workflows:

  • Database Maintenance – Used to view existing fields within the database and create new ones. All standard fields are available to be defined within each Case Type area of the system. This includes those used for data entry, correspondent type creation, iteration tables and maths fields. The latter can be used to trigger coded routines within a workflow routine.

  • Screen Designer – Used to review existing screens as well as to create new ones within each Case Type. Fields created in Database Maintenance can perform a function within each screen, so it is important to understand the purpose ahead of the design process. A security tool within this area enables you to hide screens from those who do not need access.

  • Workflow Maintenance – Review and create actions to trigger within the Proclaim Desktop. Link these actions to documents, as well as the other standard actions available in a case i.e. letter templates, email templates, memos, SMS, make or take a call. It's also possible to create tests or linked actions through coded routines to trigger within actions used in Proclaim.
